How to Share a Private Report in Salesforce
Here's a mini-tutorial on sharing a private report in Salesforce:
- Find the Reports tab in Salesforce and create a New folder.
- Search for the private report you want to share.
- Click the dropdown arrow and choose Move.
- Select the folder you created earlier and move your report.
- Back to your report folder; click the carrot (>) next to its name, and choose Share.
- Choose who can access the report (users, groups, or roles).
- Add the user you want to share the private report with.
- Set Access Level: Decide what they can do:
- View: See the report data (most common).
- Edit: Modify the report itself (grant cautiously!).
- Run My User: Run the report under their credentials (for filter security).
- Save and Share: Click "Share" to finalize.
Note:
- Grant access to specific users and keep it hidden from others.
- A View access would suffice for most users. It also helps to keep the report data secure.
